REGISTRATION
1. Is the registration fee refundable?
Unfortunately, we cannot process a refund of confirmed payment for planning purposes.
2. Is there a way to have the registration fee waived?
No, but if you are a student and recipient of NERPS 2026 financial support, you registration fee will be waived. Please refer to point 9 below.
3. Should non-participating co-authors pay the registration fee?
Non-participating co-authors of full papers do not need to pay the registration fee. However, non-participating co-authors of “presentation only” who wish to be included in the program need to pay the registration fee.
4. If a person is the co-author of two (or more ) research proposals, is it necessary to pay the registration fee more than once?
He/she does not have to pay the registration fee more than once provided that the main author of each of the research proposals pays the registration fee.
5. Can I pay for not only myself but also for other participants?

6. Can I have an invoice for payment for the registration fee?
Yes. Please contact ma6182sa@hiroshima-u.ac.jp or nerps@hiroshima-u.ac.jp.
7. Can I have a receipt for the registration fee?
Yes. Please log in to the account you created for the AWARD Portal and click the link to the Receipt. Then, you will be directed to the page where you find a receipt-download button.
8. Can I register and pay for the conference on-site?
No. Unfortunately, we are unable to handle on-site payments.
9. Will there be any financial support to participate in the conference?
There will be limited support for selected students who have submitted full papers by the deadline. A maximum of 100,000 JPY intends to partially cover travel and accommodation costs. The eligibility requirements and application procedure can be found under the Important Dates and Fees.
PARTICIPATION
1. Is it possible to receive a presentation certificate?
Yes. Please send an e-mail to nerps@hiroshima-u.ac.jp if you need a certificate. A certificate of participation can be downloaded from your account at the Award Portal.
2. Is full paper submission mandatory?
Full papers are not required, but authors who wish their papers considered for potential publication are encouraged to attach their full papers during the submission process.
3. Does the conference have a poster session?
Poster sessions will not be available. Presenting participants are also expected to make use of PowerPoint slides – not a poster – when they make oral presentations
4. What will be the procedures for receiving an entry visa to Japan?
Please refer to your nearest embassy/consulate for visa application requirements. You can also contact (TO BE ADDED) by February 20, 2026, if you need an invitation letter for a visa application.
5. What is the sequence a prospective participant is expected to follow?
Step 1 – Create an account at AWARD PORTAL on the conference website.
Step 2 – Submit your abstract through the AWARD PORTAL.
Step 3 – Complete your registration by paying the registration fee through AWARD PORTAL as soon as your abstract is accepted for the conference
Step 4 – Request a letter of invitation and other documents (by February 20, 2026) necessary for visa application, if needed
PUBLICATION OPPORTUNITIES
1. Will there be any opportunities to publish my presented paper?
Yes, there will be two outlets: an edited book published by Springer Nature and an academic journal (see Publishing Opportunities). We encourage authors to attach their full papers during the submission for consideration into these publication options. If you plan to submit a (optional) full paper, we would like to draw your careful attention to the following:
- Selected full papers will undergo a peer-review process, with a minimum of two reviewers. Authors of well-written papers will be invited to submit to an edited book published by Springer under the World Sustainability Series (Scopus-indexed) or to one of the journal issues edited by NERPS.
- In addition, if you submit a full paper by the deadline, you will have a chance to become one of the three winners of the NERPS 2026 Best Paper Award.
- Even if you do not submit a full paper by the deadline, you are free to make a presentation on the paper at the conference.
2. Will there be any article processing fees for paper publication?
There are no article processing fees for the edited volume. For the journal, there are no publication charges but authors will have the option to publish their papers open-access subject to processing fees.
3. Is the conference program Scopus indexed?
The conference is not Scopus-indexed. Scopus indexes publications and not conferences.
